Terms and Conditions

1. Definitions

We/Us/Our means Global Impact Programme (GIP) 

Programme means the Programme provided by GIP to the pupil

Exchange School means the school that hosts the pupils during the Programme

You/Your means the person/s who have submitted the completed application form for a place on the Programme

Pupil means the pupil named in the application form.

Chaperone refers to people who depart with the group and who take care of the programme participants during the journey to/from school

Programme Director means the person appointed by GIP to be responsible for the day-to-day running of the Programme.

2. Enrolment

By completing the application process, you agree to the terms and conditions set forth in this agreement.

Places are limited and subject to availability and to our being able to meet and continue to meet the pupil's needs. You are advised to apply as early as possible.

Application is made by you completing and submitting the application form.

Payment for the Programme is due in full at the time of registration. Payment can be made via online transfer.

An enrolment is not valid until the programme fee has been paid and the pupil's place on the Programme has been confirmed in writing by Programme Director.

Once the full payment has been received, you will be sent details of the programme. We may make changes to the daily agenda as considered reasonably necessary by the Programme Director.

By completing the application form, you confirm that you have provided full details of all information required and that it is accurate and correct. If at any subsequent time, we find the information to be incorrect or inaccurate or incomplete, we reserve the right to terminate this agreement with immediate effect and to require the pupil to leave the Programme. In this case, there will be no refund of the course fees and you will be responsible for any costs generated.

3. Cancellation and Refund Policy

If you wish to cancel your pupil's enrolment, you must notify us in writing as soon as possible. Refunds will be issued as follows:

*For example, for the Cambridge Horizons Programme starting on 6th July, cancellations made before 21st April are eligible for a 100% refund.

 

4. Low Enrolment Cancellation Policy
If the minimum number of participants is not met two weeks before the start date(as specified on our website), GIP reserves the right to cancel the programme. In this case:

  • All registered participants will receive a full refund
    OR may transfer to another available programme in the same season

Cancellation notices and transfer options will be communicated via GIP's official email: gip@globalimpactprogramme.com

5. Code of Conduct

Participants in the Programme are expected to behave in a respectful and responsible manner. Any behaviour that is deemed unsafe, disruptive, or inappropriate will not be tolerated and may result in the pupil being removed from the Programme.

All pupils are expected to follow the code of conduct set forth by GIP. Failure to do so may result in removal from the Programme without a refund.

6. Medical information

It is the responsibility of the pupil's parent or guardian to provide accurate and up-to-date medical information for their child. This includes any allergies, medical conditions, or medications that the participant may be taking. The chaperone will take all necessary precautions to ensure the participant's safety but cannot be held liable for any adverse reactions or complications that may occur.

7. Liability and Insurance

We have public liability insurance for GIP's Programme.
Any liability of GIP's Programme to the pupil or parent or guardian, in respect of which GIP's Programme has insurance cover, shall be limited to the amount of such cover and any such liability.
Nothing in these terms and conditions shall operate to exclude or limit any liability of GIP for personal injury or death caused by negligence of GIP's Programme.
GIP's Programme provides some insurance cover as part of the Course Fees. There is no extra charge for this cover. Full details can be provided by GIP team on request.
If costs are incurred for medical or dental treatment for the pupil, You will be responsible for payment of this cost in the first instance. Should You wish to claim for these costs, You must do so directly with the insurers.
It is the responsibility of You to ensure that appropriate insurance cover is in place for any musical instrument or other high value item brought by the pupil to the Course.

8. Passport, money, and personal property

The pupil's original passport must be presented at registration on arrival at school and will be kept securely throughout the Programme.

Pocket money is the responsibility of the individual and should be kept safe by the pupil.

We will not lend or advance pocket money to the pupil.

We will not be responsible for lost, stolen, or damaged personal property.

Any purchase in urgent need shall be coordinated through the Chaperone and all associated costs will be invoiced to You for payment at the end of the Programme.

9. Photographs and Images

We may obtain and use images of the pupil for marketing/promotional purposes, including:

  • Internal displays (including clips of moving images) on digital and conventional notice boards within the programme premises.
  • In communication with the community (parents, pupils, staff, and alumni) including by email, and by post.
  • On GIP's website and, where appropriate, via relevant social media channels, e.g. WeChat, Xiao Hongshu (RED), Twitter (X) and Facebook. Such images would not normally be accompanied by the pupil's full name; and in online, press and other external advertisements for the schools. Such external advertising would not normally include the pupil's name. We will only use images of pupils in appropriate dress. We will seek consent from you if we consider the image to be more privacy intrusive.

If you do not wish for us to use the pupil's image you must let us know by submitting the Withholding Consent to Use Photographs and Videos form.

The Programme will follow the school's policy regarding photographs and images.

10. Agreement

By accepting these terms and conditions you consent to the pupil:

  • participating in all excursions and activities listed in the programme.
  • the Programme Director authorising emergency medical treatment for the pupil if we are unable to contact you

11. Safeguarding

The programme will follow the school's safeguarding policies, procedures, and practices. Chaperones will undergo safeguarding training in accordance with these policies and have been subject to the relevant recruitment and background checks.
